Overview

Position Summary:

The  Benefits Representative II assists with benefits administration for both US and Canada based employees.  The position administers full range of benefits for employees, resolves employee benefit problems and communicates benefits coverage to employees; works with minimal supervision.     This role communicates benefits program to employees through SPDs, brochures, vendor meetings, health fair and new hire orientations.       

 

Responsibilities

Key Accountabilities

  • May coordinate and participate in Benefits Committee meetings and maintains meeting minutes as needed.
  • Reconciles benefit accounts by approving billing statements and ensures plan expenses are paid accordingly
  • Works with external parties, to include carriers, auditors, trustees, attorneys, record keepers and consultants, on benefits related issues
  • May assist with HRIS with annual benefits enrollment information and roll out the open enrollment process to active employees as well as coordinating the annual benefits fair
  • Counsels employees on retirement process and benefits
  • Resolves employee questions and problems by interpreting benefit policies and procedures
  • Assists with or handles annual compliance projects, to include 5500 filings and SARs, PBGC filings
  • Updates and disseminates benefits communications materials, including SPD’s and open enrollment materials
  • Assists with 401(k) Plan communications to employees, including organizing meetings and coordinating communication efforts with vendor. May assist with annual 401(k) non- discrimination testing
  • Assists with pension database for current retirees
  • Retiree Medical Insurance Administration
  • Promotes employee wellness through seminars, newsletters and other communications venues
  • May assist with annual benefit plan audits for 5500 filings; resolves auditor questions and information needed
  • Process, monitors and tracks employee LOA’s for STD and LTD and WC.
  • Manages COBRA adminisitration
  • Life Claims for active and retirees
  • Prepares special reports by collecting, analyzing, and summarizing information
  • Participates in new hire orientation
  • Assist with other projects as assigned

Qualifications

Minimum Knowledge & Experience required for the position:

  • Bachelors’ degree or equivalent. Minimum 5 years’ experience in employee benefits administration. Solid comprehension of a wide variety of employee benefit plans and surrounding legal environment.
  • CEB or similar professional certification is preferred but not required
  • Experience in working with both fully insured and self-insured benefits plans
  • Familiarity or ability to assist with pension plan administration and calculations
  • Experience and familiarity with Canadian benefits is desired but not required.
  • Strong technical skills including familiarity and comfort with data bases, online websites, and Excel
  • Strong verbal communication skills and ability to work effectively with people. Good problem solving skills required

 

Management has the discretion of substituting relevant work experience for a degree and/or making exceptions to the years of experience requirement.

  • Excellent written and verbal communication skills.
  • Strong customer service skills.
  • Technologically savvy with ability to comfortably and confidently learn and navigate databases and HR systems
  • Prior experience with ADP Workforce Now is preferable but not required
  • Solid Microsoft Office skills, particularly with Word, PowerPoint and Excel
  • Experience interacting with and maintaining confidential information
  • Highly organized and detail oriented.
  • Strong collaboration and team working skills
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced environment.
  • Self-motivated and ability to work independently

 

Travel requirements:

  • Limited travel to assist with communication and presentation during open enrollment or training sessions
